What information do we collect and why?

SeaWind Adventures handles the data you send us with care. Below, you can read what information we collect, why we do so, and how long it is stored.

– Personal Data
For invoicing, we naturally need your name, address, and place of residence. We send the invoice and all practical travel information digitally to the email address you provided. This is our primary communication channel.
For cabin assignments, we need to know if you are male or female. Many people travel alone, and on board with us, you will only share a cabin with someone of the same gender. Therefore, we need to know this in advance.
On the day of embarkation and during any shore excursions, it is practical and sometimes necessary for us to be able to reach you by phone. For example, if the ship docks at a different location in the harbor than expected, or if the weather changes and everyone needs to return on board to depart.

– Passport Details
Every (sea)port functions as an external border of a country. Just as you must show your passport at an airport, port authorities also want to know who is entering their country. Therefore, the captain or first mate will, at the request of these authorities, provide a list with the names, addresses, and passport details of everyone staying on board. This list also serves as the ship’s ‘muster roll.’ While sailing at sea, we are obliged to have a complete list with the names and address details of everyone on board, in case something happens.

– Next of Kin Contact Information
Should anything happen to you during the sailing trip, we will, if necessary, inform your family or contact person. For this reason, we ask you to provide us with the name, phone number, and email address of at least one contact person. We assume that you have asked this person for permission and that they agree to you providing their details for the purpose of this trip.

– Health Declaration
We ask you to complete a Health Declaration prior to the trip. Conditions such as epilepsy, diabetes, balance disorders, heart rhythm disorders, as well as recent surgery or the use of blood thinners or other medications, can pose a risk during a sailing trip at sea. This applies not only to yourself but also to your fellow travelers and the crew. Therefore, we ask you to complete this declaration as a condition for participating in a sailing trip.
For the purpose of purchasing provisions for the entire trip, we also want to know in advance if you have any allergies and/or follow a special diet. In some cases, it is difficult or even impossible to make (additional) purchases during the trip.

Retention Period
When we return home after the sailing season, we ‘clear the decks,’ both literally and figuratively. All data you provide will therefore be stored until December 31st of the year in which you took the sailing trip at the latest. Only your name and email address will be kept in our database after this date to keep you informed of our offerings in the future. If you do not wish this, you can unsubscribe via the unsubscribe button or by replying to our email.

When we organize a trip in collaboration with a guide, instructor, or other service provider, we will share your name and email address with them so they have an idea of who will be participating and to send you additional information if the trip requires it. How, where, and for how long this person stores your data can be found on their website (or by inquiring with them). The name and a link to the website of this guide, instructor, or service provider can always be found in the trip description, and we will also provide it to you by email if you request it.

Travel Journals
In the blogs on our website and in the newsletter, we will never write about you in a recognizable way. However, we will report on the sailing trip we take with you, so that those at home and sailing enthusiasts who have joined us in the past or will join us in the future can follow our experiences. We will never post a photo on our website or in the newsletter where you are recognizable, unless we have obtained your permission.

Right of Access and Deletion
You have the right to inspect the data we store about you. Upon your request, we will modify, correct, or delete this data. You can submit such a request to us by email.
